Set document reminders

Set document reminders to stay ahead of expiring documents and take action in time. By enabling reminders, you receive notifications before a document expires, allowing you to update or replace it without disrupting your compliance workflow.

Feature access

Available to all ProductIP users. Each user manages their own document reminder settings in their personal profile.

Before you begin

You know how far in advance you want to receive reminders (for example, six months before expiry)

Video instructions

A short step-by-step guide will follow soon!

Steps

  1. Open your profile by clicking My Profile in ProductIP.
  2. Go to the Settings tab.
  3. Navigate to Document reminders and select On.
  4. Set a reminder period of 1 to 6 months.
  5. Save your changes.

Once enabled, you will receive notifications when your documents are approaching their expiry date. This allows you to update them in time and keep your compliance data complete.

Tips and best practices

  • Always set an expiry date in the document metadata (if applicable). Without it, reminders will not be triggered.
  • Set reminders early enough to allow time for document updates or approvals.
  • Align your reminder period with internal compliance deadlines.
  • Review your reminders regularly to ensure they still match your workflow.
  • Use reminders together with document metadata to keep documents linked and up to date.

Troubleshooting

  • I am not receiving reminders

– Check if document reminders are enabled in My Profile > Settings > Document reminders.

– Confirm that your document has an expiry date set in metadata.

– Verify that your reminder period is set correctly.

FAQ

  • Can I set reminders for someone else?
