Add supplier requirements

Define the supplier requirements list in the Supplier requirements module and assign requirements to suppliers to ensure they provide the correct compliance documentation. You can apply requirements to all suppliers, specific industries, or individual suppliers. This helps you tailor regulatory requests while keeping supplier management organised.

Feature access

This feature is available to all ProductIP plans and users with permission to manage supplier requirements.

Before you begin

  • Ensure the required suppliers have already been added to the supplier profile. See Create a supplier profile.
  • To apply industry-specific requirements, ensure the relevant industries have been assigned to the supplier profiles under the Company tab. See Manage your supplier profiles.

A short step-by-step guide will follow soon!

Steps

  1. Go to Regulatory settings.
  2. Click Add requirement under the Supplier requirements tab.
  3. Use the search bar on the left to find and add the relevant requirement(s).
  4. (Optional) Add one or more Industries on the right side. This limits the requirement to suppliers that have the selected industry assigned to their profile.
  5. (Optional) Add one or more Suppliers on the right side. This makes the requirement specific to the selected suppliers.
  6. Click Save.
    • The added requirement is now displayed in the Supplier requirements overview.
    • If you skipped step 4 and 5, the requirement applies to all suppliers. The Industries and Suppliers columns both display 0.
    • If you added industries in step 4, the Industries column displays the number of assigned industries. Click the number to view the details.
    • If you added suppliers in step 5, the Suppliers column displays the number of assigned suppliers. Click the number to view the details.
Note: Click the gear icon to filter the columns displayed in the overview of the requirements.
  7. Review the other columns for information such as Description, Date of publication, Date of withdrawal, Document categories and Requirement categories.
  8. Click the bin icon at the end of the row to delete the requirement if needed.

Tips and best practices

  • There is another navigation path to access the Supplier requirements module in the supplier profile:

Suppliers → Select a supplier → Requirements → Manage requirements → Supplier requirements

Note: The selected supplier is not automatically linked to the requirement you add. A requirement applies either to all suppliers (when no specific suppliers are selected in the Supplier requirements module) or only to the suppliers explicitly selected there. The supplier selected in the supplier profile may therefore not be the supplier to which the requirement is specifically applied.

  • If you want to keep a requirement generic, add Industries to the selected requirement. The requirement will then apply to multiple suppliers who have added the selected industries to their profile.
  • Only add specific suppliers when the requirement should not be shared with other suppliers.

Troubleshooting

  • The requirement cannot be found.

Verify that you are using the correct search term and that the requirement has already been added to the platform.

  • The requirement is not visible for the supplier.

Check whether the supplier has the correct industry assigned. If the requirement is supplier-specific, verify that the supplier has been added to the requirement.

  • Changes are not visible.

Click Back to overview and refresh the page if necessary.

FAQ

  • What is the difference between a generic and a supplier-specific requirement?
A generic requirement applies broadly, for example to all suppliers within a selected industry. A supplier-specific requirement only applies to the suppliers explicitly added to that requirement.
  • When should I use industries instead of individual suppliers?
Use industries when multiple suppliers share the same requirement. This reduces maintenance and ensures new suppliers within that industry automatically receive the applicable requirements.
  • Can I assign both industries and individual suppliers to the same requirement?
Yes. You can use industries and individual suppliers together when needed. However, if you want the requirement to remain generic, do not add individual suppliers.
